Step by Step - Setup Auto Attendant in Microsoft Teams

Auto attendants let people call your organization and navigate a menu system to speak to the right department, Call queue, person, or operator



Step 1. Apply Free "Teams Phone Resource Account" licenses

● open "admin.microsoft.com" , go to ”Billing“ -> "Puchase service" , serach for Teams Phone Resource, you will get “Microsoft Teams Phone Resource Account” license for free

● now you can see “Microsoft Teams Phone Resource Account” license alreday in your account



Step 2. Created Resource Account and apply license and phone number

● now go to "admin.teams.microsoft.com" , go to ”Voice“ -> "Resource account" -> Add resource account

● when adding "Resource account" you will see Unlicensed

● go to "admin.microsoft.com" , go to ”Users“ -> "Active users" -> choose AT user account, apply license

● now in "admin.teams.microsoft.com" , you will see now is Licensed

● Click "Assign/unassign" , choose Direct Routing phone number

● now number for auto Attendant also done



Step 3. Configure Auto Attendant functions

● in "admin.teams.microsoft.com" , go to ”Voice“ -> "Auto attendants" -> set name and Time zone then Next

● Next is "Call Flow", input text into "Add a greeting message" will automatic convert to audio - this greeting is using for company introduction brief when received call in

● "Call routing options" choose "Play menu options"

● "Add a greeting message" do same things will automatic convert to audio - this greeting is using for guide customer next steps

● "Set menu options" you need "Assign a dial key" choose from 0,1,2,3,4,5,6,7,8,9,0,#,* , and set the destination you want to go

● "Directory search" , choss "Dial by extension" (when you set each user an extension)or "Dial by name" (only support english name)

● "Advanced settings" is using for on-work /off-work hours , you can just leave for default

● "Advanced settings" -> "Resource accounts" -> "Add" to choose

● Now customer call in +862133689396 will go to Teams with voice "Welcome call CTS China VOIP Consulting, press 1 for sales, press 2 for support", customer can press 1 for Walter Wang or 2 for Wenzi Zhang
